What we collect and why
We collect your name, email, any phone number you provide, contact preference, course interest, qualifications, experience, treatment training and questions. We record the page the enquiry came from, submission time, our follow-up notes and progress. This helps us respond to your request, assess the appropriate course route and discuss enrolment with you.
We rely on taking steps at your request before a possible course contract for handling your course enquiry, and our legitimate interests in organising follow-up and protecting the form from misuse. An enquiry is reviewed by our team; the form does not make an automated admission decision. Please do not send medical information or information identifying your clients.
Optional academy emails
You can separately choose to receive academy course and offer emails. This is optional and based on your consent. We record your choice and its date. You can withdraw it by emailing us, or use the unsubscribe link in any marketing email. This does not prevent us from responding to your enquiry. Submitting an enquiry does not automatically add you to marketing campaigns.
Storage and service providers
Your enquiry is saved in a private tracker using our website’s OpenAI Sites and Cloudflare hosting infrastructure. Contact details, enquiry answers and private notes are encrypted in storage. Access to the tracker is restricted to the academy’s authorised website owner account.
We use Resend to send your acknowledgement and a notification to our clinic inbox. The clinic notification directs us to the private tracker; it does not contain your detailed answers. Our email provider and your chosen communication provider also process correspondence. If you choose WhatsApp, that service processes your messages under its own privacy terms. These providers may process information outside the UK; you can contact us for information about the providers and applicable transfer safeguards.
How long we keep information
The enquiry tracker retains records for up to 12 months after the last recorded update. Older records and their stored acknowledgement messages are removed when the enquiry service is next used. Enrolment, assessment, payment and ordinary email correspondence are separate records with their own retention needs. We can remove an enquiry earlier where appropriate.
To limit automated misuse, the form uses a short-lived, hashed network identifier and an attempt count. We do not store the raw IP address in the enquiry tracker. These protection records expire after 24 hours and are cleared when the service is next used.
Your choices and rights
You can ask for access to your information, correction, deletion or restriction, and object to processing based on legitimate interests. Portability may apply to information processed electronically on a contractual or consent basis. These rights depend on the circumstances. You can withdraw marketing consent at any time without affecting earlier lawful processing.
